Reports timestamped and permanently stored on submission
When something goes wrong at an event, the clock starts the moment it's reported. The problem is, most events have no reliable way to capture that moment.
Paper forms go missing. Radio calls don't leave a record. WhatsApp threads aren't evidence. Without a timestamped log, you have no proof of when an incident was reported, who was notified, or what action was taken. In a liability dispute, that silence works against you.
Staff at busy events don't stop to fill out forms. Incidents get `remembered later` — or not at all. By the time a report exists, the evidence has walked out the door.
Event directors shouldn't have to chase updates by radio. If you don't have a live view of what's happening across your site, you're always one step behind — and one incident away from a serious liability exposure.
GuardSync Events is a fully managed, pop-up incident reporting service. We configure, deploy, monitor, and pack down — you focus on running the event.
Step 01
Contact us with your event details — dates, venue, expected attendance, and site layout. We'll confirm scope and send a quote within 24 hours.
Step 02
We set up your event-specific reporting environment: incident categories, alert routing, nominated contacts, and QR codes mapped to your site zones.
Step 03
Our team arrives before doors open and places branded QR signage at agreed locations — entrances, high-traffic areas, first aid points, and back-of-house.
Step 04
Attendees, staff, contractors, and security scan any QR code and submit a report in under 30 seconds. No app. No login. No friction.
Step 05
Your nominated contact receives an immediate SMS and email alert with full incident details. Nothing sits in a queue. Nothing gets missed.
Step 06
At close, we recover all signage. Within 24 hours you receive a complete incident log as a CSV — timestamped, categorised, and ready for insurance or council reporting.
Categories are fully configurable for your event. Here's what most events need.
Injuries, falls, medical emergencies, crowd crush concerns, first aid requests, venue hazards
Suspicious behaviour, access breaches, physical altercations, intoxicated patrons, unauthorised access, missing persons
Wet or slippery surfaces, structural concerns, broken equipment, fire safety issues, evacuation triggers, lighting failures
Spills, overflowing bins, restroom issues, contamination, food and beverage incidents
Equipment faults, power issues, vendor disputes, infrastructure failures, noise complaints, logistics problems
Ticket disputes, anti-social behaviour, lost children, patron welfare concerns, queuing incidents
Every feature was designed around how events actually operate — not how a generic SaaS product thinks they should.
Anyone on site reports via browser in under 30 seconds. No download, no login, no barrier. Works on any smartphone — including attendees'.
QR codes are assigned to specific site zones — Stage A, Medical Tent, Car Park North, Back of House. Every report comes with a location tag, not just a timestamp.
We produce, deploy, and recover all QR signage. You source nothing. We arrive with everything and leave with everything.
Route different incident types to different people. Security alerts go to your head of security. Medical alerts go to your first aid lead.
GuardSync monitors your event's incident stream throughout. If something looks critical and there's no acknowledgement within a defined window, our team can escalate directly to your event director.
One-day market or five-day festival. 200 attendees or 20,000. Pricing is based on duration, not headcount — the platform handles the rest.
Full-service delivery across three phases — before, during, and after your event.

Under Australian WHS legislation, event organisers have a duty of care to workers, contractors, and members of the public — and a legal obligation to document incidents.
Every report is logged the moment it's submitted. Time, date, and zone — immutable and accurate. A post-event memory isn't documentation.
Every alert and every update is recorded. If a claim is made six months later, your record holds. A WhatsApp thread isn't an audit trail.
Your CSV incident log is formatted for insurance, council reporting, and legal review. It's the documentation your team would otherwise scramble to reconstruct.
Having an active, documented incident reporting system in place — and being able to prove it was used — is meaningful evidence that you took your duty of care seriously.
"A handwritten form completed 'later' isn't a timestamp. Under Australian WHS legislation, the duty of care extends to documenting incidents — what happened, when it was reported, and what action was taken."
— WHS Act 2011 (Cth) / State WHS legislation guidance on incident documentation obligations
GuardSync Events is designed to capture what happened — not who submitted the report.
Reporters are not required to identify themselves. Reports capture what happened, where, and when — not who submitted them.
GuardSync operates in full compliance with the Australian Privacy Act 1988. All data is encrypted in transit and at rest.
The incident log belongs to the event organiser. GuardSync retains a copy for 12 months for support purposes, then permanently deletes it.
Incident data is never sold, shared with, or accessible to any third party outside of GuardSync and the event organiser.
GuardSync Events is a managed service with a defined end date. Your data is delivered as a CSV and closed out — not sitting in a live dashboard indefinitely.
All incident data is stored on Australian infrastructure. Your records don't leave the country.
Priced by duration — not by attendee numbers, incident volume, or reporting frequency.

Within 24 hours of GuardSync going live at a Sydney venue, a member used the QR reporting system to flag a peeling mirror in the weights area. The hazard was escalated immediately, the area was secured, and the mirror was replaced before any injury occurred.
The report existed. The timestamp existed. The action existed.
That's the difference between a near-miss and a liability claim — and between an organised operator and an exposed one.
"GuardSync gave us visibility we simply didn't have before. Issues are handled faster, staff are more confident, and patrons have noticed the difference."
— Tiana, Owner & Manager
No. Anyone with a smartphone can submit a report by scanning a QR code — in under 30 seconds, with no login and no app download. A 5-minute pre-event briefing is all we recommend.
We discuss signal coverage during the pre-event configuration call and position QR codes in areas with reliable connectivity. For venues with known signal issues, we advise on placement and can adjust zone mapping accordingly.
Anyone can use it. QR codes can be positioned publicly — a member of the public can report a hazard just as easily as a staff member. This dramatically increases your incident capture rate.
We recommend at least 5 business days before event start for configuration and signage production. For large or complex events, 2 weeks is ideal.
