For gyms and fitness clubs

Your members see problems before you do.Give them 30 seconds to tell you.

GuardSync puts a QR code on your gym wall. Anyone who spots a hazard, a broken machine or a mess scans it, takes a photo, and you know about it immediately. Your staff run the opening and closing checklist on the same system, with photo proof. No app for members to download. No training for your staff.

A member partway through a GuardSync report on their phone: step 1 of 4, incident time recorded, about to pick the incident category

A real night at a real gym

12:41am.A fire hose reel burst at Plus Fitness Warwick Farm.

The gym was on 24-hour access. No staff on site. A member training at that hour saw water running across the floor.

He scanned the QR code on the wall, selected "Hazard", took a photo and sent it. It took him about half a minute.

The report landed immediately. An emergency plumber was on site that night. The gym opened normally the next morning.

Without that QR code on the wall, the first person to find out would have been whoever opened up at 5am, several hours and several thousand litres later. Instead of a plumber callout, it is a flooded gym floor, ruined equipment, an insurance claim and days of closure.

One member. One scan. 30 seconds. A flooded gym that never happened.

71%

of incidents reported through GuardSync happen when no staff are on site.

9 minutes

average time from a report landing to someone responding to it.

GuardSync risk assessment for the loose ceiling fan mount at a World Gym site in Sydney's north, rated High, 16 out of 25

And another one

A ceiling fan mount coming loose, spotted from the floor.

At a World Gym site in Sydney's north a member noticed a ceiling fan mount had worked loose above the training floor. Not dramatic. Easy to walk past. Exactly the kind of thing that gets noticed by twenty people and reported by none, because nobody knows who to tell or thinks it is their job.

He scanned the code and sent a photo. Management had it in writing, with a picture, within the minute. It was dealt with before it became the kind of thing that ends up in a lawyer's letter.

This is the pattern. The problems that hurt a gym are almost never the ones nobody noticed. They are the ones plenty of people noticed and nobody reported.

Everything that goes wrong in a gym, in one place

Your members and your staff use the same QR code. They pick what they are reporting from a short list, add a photo, and send. You decide which categories appear.

  • Fight
  • Theft
  • Medical
  • Noise
  • Vandalism
  • Suspicious
  • Fire
  • Intoxication
  • Harassment
  • Hazard
  • Unauthorized Entry
  • Improper Equipment Use
  • Unracked Equipment
  • Sauna Misuse
  • Cleaning Issue
  • Damaged Equipment

Every report is timestamped, photographed and permanently recorded. Nothing depends on someone remembering to mention it.

Live in your gym this afternoon

There is nothing to install, nothing to integrate and nothing for your members to download.

  1. 1

Sign up and add your gym

Create your account, enter your gym details and choose who gets notified when a report comes in. Takes about 10 minutes. You do not need to speak to us.

  2. 2

Print your QR codes and put them up

GuardSync generates your signage as a print-ready PDF. Put them at reception, on the gym floor, in the change rooms and anywhere your members already stand around. Print them yourself, or we will send you proper printed signs.

  3. 3

    Reports start arriving

A member scans, picks a category, takes a photo and sends. You get notified immediately. It is logged, timestamped and sitting in your dashboard whether you act on it today or look back at it in a year.

The other half of GuardSync

Proof your gym was actually opened properly

Most gyms run on a clipboard or a group chat. Someone ticks the box, or says they did, and nobody really knows.

With GuardSync your staff work through the opening or closing checklist on their phone. Each item that matters needs a photo. Change rooms clean. Wipes restocked. Weights racked. Fire exits clear. Every tick is timestamped and attached to the person who did it.

If you are not on site, you can see the whole thing was done, when it was done, and what it actually looked like. If you are on site, you stop having the same conversation every morning.

What gyms use checklists for

  • Opening and closing checks, with photo proof of each area
  • Cleaning and hygiene rounds through the day
  • Weekly and monthly equipment safety inspections
  • Fire exit, first aid kit and defibrillator checks
  • Pool, sauna and plant room checks where you have them
  • Anything else you currently run on a clipboard

Every completed checklist is kept. When an insurer, a franchisor or a regulator asks you to show that your checks were being done, you export it and send it. No reconstructing anything from memory.

Everything in one screen
